Coreworx EDMS Connector: Unifying Project Information
Major capital projects involve thousands of deliverables, including documents such as drawings, specifications, and datasheets, all of which are frequently revised. When these documents are associated with critical interfaces, all interface stakeholders must have access to the correct and latest document revision and be made aware of when changes are made. Using outdated revisions can lead to errors, misunderstandings, and project delays.
While exchanging these documents using file attachments is sometimes necessary, integrating your interface management solution with your document management system is ideal. This is possible with the Coreworx EDMS Connector.
The Coreworx interface management EDMS Connector provides the connection between your document deliverables program and your interface management practice. The Coreworx EDMS Connector makes it easy to integrate interfaces with documents in your controlled document repository, ensuring interface stakeholders always have access to the right revisions of documents and that information is exchanged promptly.
How the Coreworx EDMS Connector Works
Interface points are used to document and describe the interface, giving interface stakeholders the ability to raise interface agreements for the purpose of exchanging information and deliverables related to the interface. Deliverables can include drawings, calculation reports, studies, diagrams, or any engineering documents necessary to ensure alignment at the interface.
Figure 1: Coreworx EDMS Connector process flowchart
The interface agreement is raised by Party A requesting that Party B share documentation (i.e., a piping plan, drawing, or schematic). The request is submitted, received, and acknowledged by Party B, and ultimately, on or before the due date, the response is issued.
When issuing a response to an interface agreement by sharing a document for example, it’s common practice to either reference the transmittal as the response — with document control handling the distribution — or upload the document as a file attachment.
With the Coreworx EDMS Connector, the responding party issues the response by creating a link to the document in the document management system used by the project. This ensures a timely exchange of the document and reduces the likelihood of working with an incorrect revision. Once received, Party A can access and download the controlled document.
Why Project Teams Need the Coreworx EDMS Connector
The Coreworx EDMS Connector helps ensure an accurate relationship between engineering documents and interfaces, maintaining this relationship throughout the entire project. The risk of working with incorrect revisions is reduced and interface stakeholders can easily identify when newer revisions are available, mitigating the potential risks of engineering rework, cost growth, and delays.
The Coreworx EDMS Connector is preconfigured to integrate with Proarc EDMS but can be connected to any document management system via Ascertra’s enhanced microservices and preconfigured templates.
